• Secure Content Transfer: We ensure clients’ data is securely transmitted without interception or corruption, assuring that their intellectual property remains protected from the moment it leaves their systems. We utilize a wide range of secure platforms, including AWS, Google Cloud, Azure, Dropbox, and enterprise-level solutions such as IBM Aspera on Cloud, for high-speed, encrypted, and reliable file delivery.
• Automated Content Deletion: To prevent long-term storage of clients’ data, automated scripts securely delete all project files from our temporary storage locations after a project is completed. It minimizes the risk of a data breach and provides a transparent audit stream of data destruction.

Network & System Security

• Network Segmentation: Our network is physically and logically segmented to create secure, isolated environments. It prevents unauthorized access and lateral movement across our network, directly safeguarding your data from internal and external threats.
• Enterprise-Grade Firewalls: We have a protected network leveraging enterprise-grade firewalls (FortiGate 100F and FortiGate 60F). Our experts verify that all network activity is logged and audited every month.
• System Hardening: We secure content-handling systems with full disk encryption. BitLocker and FileVault are run on our systems. Kaspersky and Windows Defender keep our systems protected from any potential virus or malware threats. To prevent sensitive data from leaking, we have turned off writing capabilities for external storage devices on all systems.

Physical Security & Access Control

• Secure Facility: Our office facility is exclusively occupied by Color Experts International, Inc., ensuring that it remains safe and unauthorized entry is prevented. Access to our Server Room and Data I/O Room is controlled by electronic key fob systems, guaranteeing a verifiable log of all entry and exit events.
• 24/7 Surveillance: Our facility is monitored by a network of 22 security cameras that cover all critical areas. The camera footage is retained for a minimum of 90 days. We also have an alarm system in place for the server room and building, which is tested quarterly.
• Visitor Management: General visitors, interns, and students visiting the premises must submit a government-issued ID with a clear photograph. They have to sign a comprehensive NDA. They are issued a temporary visitor badge and must be guided by an authorized employee on the premises.

Personnel & Remote Work Security

• Employee & Contractor Vetting: Before recruiting employees and contractors, we check their background and discuss their past activities. Those who handle your content must be trustworthy and accountable; therefore, we encourage them to sign a comprehensive NDA certificate.
• Continuous Supervision: We never allow freelancers to work without the supervision of a dedicated full-time employee. As per our policy, we adhere strictly to this as part of our continuous monitoring and in accordance with all security protocols.
• Secure Remote Work: While we strongly prefer all content handling to be done in-house, there are rare cases where remote work is required. In those situations, the same strict security measures apply. Remote team members must use company-issued devices that run screen recording software, are protected by mobile device management (MDM), and have encryption and firewalls enabled, keeping the work environment just as secure as our on-site facilities.
